Exhibition Contractor

Pyramid Displays has been appointed as the official Exhibition Contractor.

They offer a comprehensive, full-service exhibition experience, including:

  • Furniture hire
  • Flooring
  • Printed booth graphics
  • Audiovisual equipment
  • Additional power and lighting
  • Stand upgrades
  • Custom stand design and construction

In early June 2026, Pyramid Displays will email exhibitors to confirm booth style and inclusions, along with a link to browse available options and submit fascia signage requirements. Please ensure you have your booth allocation number available, as this will be required during the selection process.

In the meantime, exhibitors are welcome to browse available hire options on the Pyramid Displays website. Pricing can be viewed by completing a quick registration process.

Please refrain from requesting quotations until you receive your exhibitor kit, as this will contain important event-specific information required before proceeding.

 

Booth Packages

The following items are included complimentary within each standard booth package:

 

  • White PVC inserts in an aluminium frame
  • Company signage on open sides
  • 2 x spotlights
  • 1 x 4amp general-purpose outlet 
  • 1 x clothed table
  • 2 x chairs

Additional power requirements may be ordered through the Exhibitor Kit.

 

Start-up Hub Packages

The following items are included complimentary within each start-up hub package:

  • 1 x clothed table
  • 2 x chairs
  • 1 x 4amp general-purpose outlet

While exhibitors are welcome to use their own designer and/or builder, Pyramid Displays is the preferred exhibition partner and will already be onsite. Working with them will provide a more seamless build process and smoother overall event experience.

Exhibitor Manual

Please read the Exhibitor Manual carefully, as it contains important information regarding exhibiting at RAVC Royal Pines Resort.

Exhibitor Manual

To confirm receipt and understanding of the manual, please complete and return the "Signature Confirmation" on page 14. Only one signed copy per exhibiting company is required.

Please note the venue will not permit exhibitor access without this confirmation.

Delivery of Goods

There is no appointed freight forwarder for this event. Exhibitors should therefore use their preferred supplier.

Please note the following:

  • The hotel cannot accept deliveries prior to Thursday 16 July
  • Please ensure the official delivery label is attached to all packages 
  • An outgoing freight label will be provided during move-out
  • Collection of outgoing freight must be arranged prior to departure
  • All goods must be collected within two business days of the event conclusion
  • All items will be stored on an "all care but no responsibility / liability basis"

A resort forklift is available at the loading dock for deliveries, with a maximum lifting capacity of 1 tonne. Heavier items will require separate arrangements.

If you are shipping materials to the venue, please advise Louise Smith of the approximate size, weight and number of packages so the hotel can be notified accordingly.

Please confirm the name, email address and mobile number of your primary onsite contract for the event.

External Suppliers & Contractors

If you intend to use any external suppliers or contractors onsite, their details must be submitted in advance so they can complete the venue's online induction process prior to arrival.

Please note that suppliers and contractors will not be permitted to undertake work onsite without completing this process.

Insurance and Liability Notice for Exhibitors

Exhibitors must hold appropriate Public Liability and Employers' Liability Insurance as a condition of participation. It is the responsibility of each exhibitor to ensure that all personnel, equipment and products are adequately insured for the duration of the event.

Tangent Link and the event venue accept no liability for any damage, loss or personal injury incurred before, during or after the event.

Exhibitors are strongly advised to secure equipment, promotional materials and valuables overnight, as overnight security cannot be guaranteed.
